Short answer

A firm configures its practice areas, hours, directory, intake questions, escalation rules, and notifications. VoiceOrbit then answers forwarded or provisioned calls, captures the caller’s intent and details, executes the approved next step, and stores the outcome in the portal.

1. Define the playbook

Start with practice areas, business hours, caller categories, staff directory, intake questions, prohibited statements, transfer targets, callback expectations, and failed-transfer behavior.

2. Test realistic scenarios

Role-play new matters, existing clients, court callers, urgent deadlines, and vendor calls in the browser. The quality studio checks whether expected facts and workflow events appeared, while a human reviewer confirms the legal and conversational judgment before the firm relies on the playbook.

3. Connect call traffic

Forward an existing number or use a provisioned number. Start with a controlled schedule or overflow threshold and retain a documented failover path.

4. Review and improve

Use the portal to inspect calls, intake records, routing outcomes, usage, contacts, and settings. Update the playbook as staff, hours, practice areas, and business needs change.

Common questions

What law firms ask before launch

Do we have to change our main number?

Usually not. A firm can forward after-hours, overflow, or selected calls from its current provider. VoiceOrbit can also provision a number when appropriate.

How does the receptionist learn about our firm?

The demo can begin with public website context. Production setup adds firm-reviewed facts, instructions, staff entries, caller categories, transfer targets, and escalation rules.

Can we test changes before publishing them?

Yes. The portal includes a call-flow editor and a quality studio with realistic role-play scenarios, in-browser calls, automated directional checks, and a required human review before the firm relies on a new playbook.
