How VoiceOrbit works

The right callers get through. The rest stay out of your team’s way.

A simple three-step workflow that protects your time and your clients.

  1. 01

    We answer every call

After-hours and overflow callers reach a calm receptionist that uses your approved greeting, hours, and practice information.

  2. 02

    We capture and qualify

VoiceOrbit gathers the facts your firm needs, checks the caller type, and applies your definition of urgency.

  3. 03

We interrupt only when it matters

Urgent matters follow your on-call rule. Everything else arrives as a structured message for the right team member.

Questions before launch

Clear answers, before a caller ever reaches us.

What does VoiceOrbit do for a law firm?

VoiceOrbit answers inbound calls, follows a firm-approved intake script, distinguishes new matters from existing-client and vendor calls, captures structured details, and applies the firm’s transfer or callback rules. It is designed for after-hours coverage, overflow, or both.

Can VoiceOrbit support different practice areas?

Yes. The call playbook is configured around the firm’s practice areas, intake questions, disclaimers, hours, staff, and routing rules. A family-law firm, criminal-defense practice, estate-planning office, immigration firm, business practice, and personal-injury firm should not receive the same intake flow, so the firm reviews and approves its workflow before launch.

Will it give legal advice or promise representation?

Legal call playbooks are configured to avoid legal advice, outcome promises, and statements that create an attorney-client relationship. The receptionist can collect facts and explain the firm’s callback process, while representation decisions remain with the firm.

What happens when a caller reports an emergency?

The firm defines the escalation policy. The receptionist can tell callers to contact emergency services for immediate physical danger, flag time-sensitive legal facts, and transfer or notify an approved person when a rule matches. VoiceOrbit is not an emergency service.

Can we keep our existing phone number?

Yes. Most firms forward after-hours, overflow, or selected calls from their existing number to VoiceOrbit. The exact forwarding and failover setup is confirmed during onboarding.

How quickly can we launch?

Essentials can be configured once the firm supplies its call-handling rules, practice areas, hours, staff directory, escalation contacts, and approved disclaimers. The subscription includes guided configuration and launch support.

How is call data handled?

VoiceOrbit uses access controls, bounded public demos, and minimized routine logging. Production retention, recording, transcript, and deletion settings are agreed with the firm before live traffic is enabled. Firms should not place confidential client information into the public demo form.
